Terms of Service
Last updated: 23 October 2026
These terms are the agreement between you and Zachary Burgess trading as Balancio (“Balancio”, “we”, “us”) for using the Balancio website and app. Please read them. By creating an account you agree to them. We've tried to keep them in plain English.
1. What Balancio is, and isn't
Balancio is bookkeeping software. It helps you record your income and expenses, scan receipts, organise your records and understand your numbers.
Balancio is not an accountant, tax adviser or financial adviser, and nothing in Balancio is professional, tax, legal or financial advice. Where Balancio suggests a category, or whether a cost is usually tax-claimable, that is a general suggestion based on common UK rules. It may not fit your circumstances. For advice about your own situation, speak to a qualified accountant or tax adviser.
2. Your responsibilities
- You are responsible for your own records and tax affairs, including the accuracy of everything you record in Balancio and anything you send to HMRC or anyone else.
- Check every suggestion. Balancio uses artificial intelligence (AI) to read receipts and suggest details. AI can make mistakes, so you must check the details and confirm them yourself. When you confirm an entry, you are confirming it is correct.
- Answer honestly. When Balancio asks whether something was a business cost, only say yes if it genuinely was. Claiming personal costs as business expenses can lead to HMRC penalties.
- Keep your records. HMRC generally requires you to keep business records for at least 5 years after the 31 January deadline for the tax year they relate to. Balancio stores your records and receipt photos while your account is open, but we recommend you export a copy regularly.
- Keep your login details safe and tell us straight away if you think someone else has accessed your account.
- You must be at least 18 and use Balancio for a genuine business or self-employment.
3. Your account and your data
Your financial records and receipt photos belong to you. We only use them to provide Balancio to you, as explained in our Privacy Policy. Your data is kept separate from every other user's, and nobody else using Balancio can see it.
You can delete individual entries at any time. If you close your account, we will delete your data as described in the Privacy Policy, so please export anything you need first.
4. Plans, payment and cancelling
- Balancio has three paid plans: Starter, Pro and Premium. What each plan includes and costs is shown on our website when you sign up. Features marked “coming soon” are not yet available and aren't part of what you pay for until they launch.
- Free first month. Starter and Pro are free for your first month. If you cancel before the month ends, you won't be charged. If you don't, your plan continues and billing starts automatically.
- Plans are billed in advance, monthly or yearly, and renew automatically until you cancel.
- You can cancel any plan at any time. You won't be charged again, and you keep your features until the end of the period you've already paid for. We don't give refunds for part-used periods, except where the law requires it.
- Premium's accountant check. Premium includes a check of your year-end tax return by a qualified accountant. On monthly Premium, it's included once you've had Premium for 12 consecutive months; on yearly Premium, it's included at the end of the year you've paid for. If you cancel or move to another plan before then, the accountant check isn't included and no further payments are due. The check is based on the records you've kept in Balancio. The accountant reviews your return; you remain responsible for what you submit to HMRC.
- If we change our prices, we'll tell you at least 30 days before the change affects you, so you can cancel first if you want to.
- Some plans have usage limits, such as a number of receipt scans each month.
- To protect the service, we also apply fair-use limits to all plans, such as a maximum number of receipt scans per day.
5. Using Balancio fairly
You agree not to:
- use Balancio for anything illegal, including tax evasion or fraud;
- upload anything you don't have the right to upload, or anything harmful such as viruses;
- try to access other people's accounts or data, or interfere with how Balancio works;
- copy, resell or reverse-engineer Balancio.
If you break these terms, we may suspend or close your account. Where it's reasonable, we'll warn you first and give you a chance to export your data.
6. Availability and changes
We work hard to keep Balancio running and your data safe, but we can't promise it will always be available or free of errors. We may improve, change or remove features over time. If we make a change that significantly affects a paid feature you rely on, we'll let you know in advance.
7. Our liability to you
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot legally be limited or excluded.
Otherwise, and as far as the law allows:
- we are not responsible for decisions you make based on Balancio, including anything you submit to HMRC, or for tax, penalties or interest you owe;
- we are not responsible for losses caused by incorrect information you entered or confirmed, including details Balancio suggested that you didn't correct;
- we are not responsible for loss of profits, business, revenue or opportunity, or for indirect losses;
- our total liability to you for anything relating to Balancio in any 12-month period is limited to the amount you paid us in that period, or £100 if that's higher.
If you are using Balancio as a consumer rather than for business, you also have legal rights that these terms don't affect.
8. Closing your account
You can stop using Balancio and close your account at any time by emailing us at info@balancio.co.uk. We can close accounts as described in section 5, or if we stop offering Balancio, in which case we'll give you reasonable notice to export your data.
9. Changes to these terms
We may update these terms from time to time. If a change is significant, we'll tell you by email or in the app before it takes effect. If you keep using Balancio after that, you accept the new terms.
10. The legal bits
These terms are governed by the law of England and Wales, and the courts of England and Wales can deal with any dispute (if you live in Scotland or Northern Ireland, you can also use your local courts). If any part of these terms is found to be unenforceable, the rest still applies.
